    Files and documents

Add, edit and find files in a workspace, and see which document types open in the browser.

    On this page8 sections

    The Files view#

Files lists everything in the workspace, folders first. Click a file to open it in a tab.

The buttons at the top of the list are Find in files, New file, New folder, Upload files and Refresh. Right-click a file or folder for more: Rename, Delete, Download, Copy Path, and for folders Download as Zip.

While the agent is working, agent writing shows next to the heading, and a dot marks each file that has changed.

You need edit access to change files. With view access you can open, search and download.

    Upload and download#

    • Upload: click Upload files, or drop files onto the list or onto a folder. Each file can be up to 100 MB.
    • Same name already there: you are asked to Keep Both, Overwrite or Skip.
    • Download: one file, a folder as a zip, or the whole workspace as a zip. You are asked to confirm a zip larger than 200 MB.

    Move and select#

Drag a file onto a folder to move it. Hold Ctrl or Cmd and click to select several files, or Shift and click to select a range, then right-click for Move To, New Folder with Selection or Delete.

    The internal folder#

A new workspace starts with a folder named internal. Whatever you put there stays in this workspace: it is not copied when the workspace is cloned, saved as a service or published. Use it for notes and working material that should not travel.

    Edit a text file#

    1. Click the file to open it.
    2. Click Edit.
    3. Make your changes and click Save.

Review changes shows what you changed since the last save. Revert discards your changes.

If the agent or a colleague changes a file while you have unsaved edits to it, you are told the file changed and offered Save as copy, Overwrite or Reload theirs. A file you have open without unsaved edits updates by itself.

    What opens in the browser#

    TypeIn the browser
Text, code, Markdown, HTML, JSONView and edit. Markdown and HTML have a preview; JSON has a tree and a grid.
CSV and TSVA grid you can sort and filter. Cells are editable in Edit.
Excel (.xlsx)An editable spreadsheet: values, formulas, several sheets, filtering, sorting and find and replace.
Word (.docx)Read-only view. The agent can edit Word files.
PowerPoint (.pptx)Read-only view, slide by slide.
PDFView with search, zoom and rotate.
ImagesView at fit or full size.
Zip and tar archivesA list of what is inside, with Extract all or Extract for one item.

Other file types can be stored and downloaded but have no preview.

    Working in Excel files#

Edit cells directly, then click Save or press Ctrl+S or Cmd+S. Unsaved changes is the only sign that you have edits waiting, and reloading the page discards them, so save before you leave the tab.

Charts and shapes are not drawn in the grid, but they are kept when you save.

If the agent rewrites a spreadsheet you have open, close the tab and open the file again before making your own edits.

    Large files#

    • A text file over 2 MB, or a CSV over 5 MB, opens read-only and shows only its beginning. Download it to see all of it.
    • You are asked before an Excel file over 20 MB is opened.
    • A PowerPoint file over 25 MB is not previewed. You can still download it.

    Extracted data#

When the agent extracts values from documents, it can save them as an extraction file. Opening one shows each extracted value with the passage it came from.

    • Confirm this value marks a value as checked. Confirm all does it for a whole group.
    • Correct this value lets you change it and say why: wrong value, incomplete, not in the source, badly formatted or superseded.
    • Open the source opens the cited document beside the value, with the passage marked.

The header shows how many values are still to check.

    Find in files#

    1. In Files, click the magnifier. Or press Cmd+K or Ctrl+K, type >find and press Enter.
    2. Type at least two characters.
    3. Click a result to open the file at that line.

Use Match case and Regular expression to narrow a search. Search covers text files and the text of Word documents. It does not look inside Excel, PowerPoint, PDF or image files.

To open a file by its name instead, press Cmd+K or Ctrl+K and start typing.
